Empath Healthis seeking a detail-oriented Scheduling & HIM Manager to join our interdisciplinary PACE team.In this role, the Scheduling and HIM Manager oversees all scheduling and health information management functions to ensure efficient operations, accurate documentation, and compliance with PACE and CMS standards. This role builds structure, accountability, and follow-through across two critical areas—scheduling and medical records—so that participant care is timely, coordinated, and fully supported. The manager partners with the Program Director, Center Manager, Nursing, and Clinic teams to eliminate scheduling delays, strengthen documentation accuracy, and maintain audit readiness.

What You’ll Do

Scheduling Operations

  • Lead all scheduling activities across clinic, home care, and external provider appointments.
  • Ensure orders are scheduled within required timeframes and properly tracked in the EMR.
  • Monitor and report on scheduling KPIs such as turnaround time, cancellations, and compliance rates.
  • Collaborate with Nursing, Clinic, and Transportation to align schedules with participant needs and staffing capacity.
  • Identify inefficiencies and implement process improvements that streamline operations.

Health Information Management (HIM) Operations

  • Oversee all HIM activities to ensure complete, accurate, and timely participant documentation.
  • Conduct regular chart reviews and audits for compliance with CMS, AHCA, and PACE requirements.
  • Ensure timely scanning, filing, and EMR updates for all documentation and orders.
  • Support readiness for audits and regulatory reviews through organized record maintenance.
  • Provide training and guidance to staff on documentation standards and confidentiality requirements.

In-Network Provider Management

  • Maintain accountability for in-network provider utilization, coordinating closely with external vendors, transportation, and clinical teams to optimize scheduling flow and participant experience.

Compliance

  • Serves as the liaison with Compliance, quality and IT departments on data integrity and documentation accuracy.
  • Ensure that all participant services and external referrals are arranged and completed within regulatory timeframes
  • Partner with other operational/clinical leaders to ensure clinical and operational activities are aligned with compliance, quality, and participant safety expectations.

Leadership and Collaboration

  • Supervise scheduling and HIM staff, setting clear expectations for quality, timeliness, and accountability.
  • Foster teamwork and collaboration across scheduling, nursing, clinic, and administrative functions.
  • Track daily workflow and redistribute priorities as needed to meet program demands.
  • Partner with leadership to identify process improvements and standardize best practices across sites.
  • Coach and develop staff to improve operational excellence, ownership, and understanding of compliance requirements.

Position Requirements

  • High school diploma or equivalent required.
  • Minimum five (5) years of progressive experience in healthcare scheduling, HIM, or clinic operations (PACE or similar environment preferred).
  • Strong understanding of healthcare documentation standards, HIPAA, and CMS regulations.
  • Demonstrated ability to manage staff, multitask, and meet deadlines in a fast-paced environment.
  • Proficiency in EMR systems and Microsoft Office Suite.
