Organizational Development & Learning Coordinator

This position is part of a team responsible for organizational, leadership and the overall professional development process for colleagues and leaders.

JOB DUTIES/RESPONSIBILITIES:

  1. Effectively communicates with colleagues and leadership, at all levels of the organization regarding Organizational Development & Learning Services.
  2. Design and maintain databases of information related to professional development of staff, volunteers, and students.
  3. Coordinate all external education requests across Empath. Track registrations, travel arrangements and expenses.
  4. Coordinate Organizational Development & Learning event set-up for leadership training, executive meetings, and focus groups by arranging communications, agendas, materials, and any other coordination details such as room reservations.
  5. Coordinate education resource availability through the Marketing team and Copy Center.
  6. Track class paperwork (modules, rosters, evaluations, certificates) as it enters the department and distribute to appropriate locations for data entry.
  7. Maintain new-hire welcome materials ensuring all information is up-to-date with content and brand standards.
  8. Provide customer service and troubleshooting support to colleagues using the Learning Management System.
  9. Maintains and updates all Empath organizational charts for leadership presentations.
  10. Coordinate CPR registrations.
  11. Train, instruct and supervise office volunteers.
  12. Communicate with accounting, prepare invoices, gather information, and prepare reports for yearly budgets.
  13. Provide statistical reports as needed by management in a variety of user-friendly reporting modes.
  14. Respond to inquiries for education records reports from regulatory bodies, colleagues, and leadership team as needed.
  15. Act as a department receptionist, greeting customers and answering the phone as needed.
  16. Provides executive assistant support to the VP of Organizational Development & Learning through the coordination of meetings as well as credit card reconciliation and budget support.
  17. Provide support as needed for Organizational Development & Learning team members.
  18. Assist all team leadership as requested with team projects.
  19. Perform other tasks as assigned by VP of Organizational Development & Learning.

POSITION QUALIFICATIONS/REQUIREMENTS:

  • Education and/or Experience: High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
  • Two (2) years experience in data entry preferred.
  • Advanced level computer skills to include: Excel, Word, PowerPoint, Adobe, Zoom/Teams and data entry.
  • Must be flexible, able to work independently and as a team member.
  • Ability to handle multiple tasks in fast-paced situations at the same time.
  • Ability to interact with all departments in a professionally and with a focus on customer service.
  • Good interpersonal skills with strong focus on customer service.
  • Critical thinking and problem-solving skills required.
  • Demonstrated passion for providing the highest quality support for paid and unpaid staff education.
  • Commitment and ability to work with various departments and interdisciplinary teams to meet patient/family care and organizational goals.
  • Strong interpersonal and oral / written communication skills.
  • Must have reliable transportation which will enable them to perform tasks and responsibilities in a timely and appropriate fashion. Must be able to provide proof of automobile insurance, a copy of which will be placed in their employee file.
