HR Onboarding Assistant

Empath Health is currently seeking an Onboarding Assistant to join our team.

The On-Boarding Assistant supports and builds upon the vision for the new colleague experience “from yes to desk” across all divisions of Empath Health. The On-Boarding Assistant supports the day-to-day operations for the successful background screening and on-boarding of new hire colleagues and ensures I9, AHCA, OIG, professional licensure, certifications, and other compliance requirements for all Empath Health colleagues. Within the role there is an expectation that they innovate and adapt to change: All roles within the Culture + Communication Team should innovate based on needs of the organization and environment. Creativity in promotion, capture and follow up will be critical to adapting to the environment.

  • Support the full cycle of the new colleague on-boarding process including initiating criminal background checks, conducting reference checking, and communicating with new colleagues for a successful onboarding process
  • Monitor the on-boarding timeline and tracks each new colleague’s status to ensure on-boarding steps are coordinated and appropriately communicated to the hiring manager and all relevant departments within the established timeframe
  • Establish and maintain a positive relationship with each new colleague throughout the onboarding process, by serving as the single point of contact and providing a detailed overview of the steps, timeline and required documents, signatures and tasks
  • Process all hires, re-hires and transfer candidates including documentation, scheduling for Orientation, file review and coordination of start dates; ensure the completeness and accuracy of each file with the on-boarding process.
  • Provide on-boarding support to hiring managers including timely, consistent updates throughout the on-boarding process
  • Coordinate closely with the Talent Acquisition Team to ensure new hire entries to the HRIS system are completed in a timely and successful fashion; monitor electronic on-boarding tasks to ensure all requirements are complete prior to Orientation
  • Exercise excellence in discretion and confidentiality in handling sensitive information; use exceptional judgement to elevate concerns as needed

Position Requirements:

  • Education and/or Experience: High School graduate with some college level studies in Human Resources or related field, or at least 4 years equivalent experience; or two years related experience in a healthcare administrative function, or equivalent combination of education and experience.
  • Certifications: PHR preferred
  • Must have excellent written and verbal communication skills.
  • Must have extensive experience in Microsoft Office programs with emphasis on Excel and Word   Experience with HRIS, scanning software, Applicant Tracking Systems, Onboarding systems, and Background Check applications preferred.
  • Must have excellent organizational skills with high level of attention to detail and emphasis on quality outcomes, without sacrificing productivity.
  • Ability to organize and manage multiple tasks effectively, sometimes in stressful situations.
  • Skills in differentiating relationships, levels and qualifications of onboarding employees in clinical environments.
  • Must exhibit professionalism, confidentiality and interpersonal skills with emphasis on customer service and ability to contribute to a positive work environment.
  • Ability to work as a team player and independently, as needed.
  • Must have strong customer service skills, both verbally and in writing.
